This Privacy Policy explains what information Wolfsgart (“we,” “us”) collects through the Wolfsgart registration application (the “Service”), how we use it, and the choices you have.

1. Information we collect

  • Account & contact: your email address and/or phone number, and your name.
  • Registration & vehicle: vehicle details (make, model, year, color, class, license plate) and photos you upload.
  • Purchases: the passes, add-ons, and guest passes you buy and their status. Card payments are handled by Stripe — we receive confirmation and identifiers, not your full card number.
  • Event activity: pass scans, scavenger-hunt check-ins, perk redemptions, and judging scores related to your entry.
  • Communication preferences: your acceptance of our Terms.
  • Technical: basic device/log information and, for abuse prevention, limited request metadata such as IP address.

2. How we use your information

  • to create and manage your account and sign you in;
  • to process registrations, payments, passes, and perks, and to run judging and the scavenger hunt;
  • to send transactional messages, such as one-time sign-in codes (by SMS when you sign in with a phone number) and registration and event updates by email;
  • to operate, secure, and improve the Service and prevent fraud and abuse (for example, rate-limiting sign-in codes);
  • to comply with legal obligations.

3. How information is shared

We share information with service providers who process it on our behalf, including:

  • Stripe — payment processing;
  • Twilio — one-time SMS sign-in codes;
  • Resend — email delivery;
  • Vercel and Supabase — application hosting and database;
  • Mapbox — maps shown in the app.

We do not sell your personal information. We may disclose information if required by law or to protect the rights, safety, and security of our users, the event, or the public.

4. SMS & email communications

If you sign in with a phone number, we send a one-time sign-in code by SMS so you can access your account; standard message and data rates may apply. These codes are part of providing the Service, and we do not use SMS for marketing or broadcast messaging. Transactional emails (such as sign-in links, receipts, and event updates) are likewise part of providing the Service.

5. Cookies & sessions

We use strictly necessary cookies to keep you signed in and to operate the Service. We do not use them for third-party advertising.

6. Data retention

We keep your information for as long as your account is active and as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce our agreements. You may request deletion of your account (see Contact).

7. Security

We use reasonable technical and organizational measures to protect your information, including signed pass tokens and access controls. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

8. Your choices & rights

You can view and update your contact details in the app, and you can request access to or deletion of your information. Depending on where you live, you may have additional rights under applicable privacy laws.

9. Children

The Service is not directed to children under 13, and we do not knowingly collect their personal information.

10. Changes to this policy

We may update this policy from time to time. We will revise the date above and, where appropriate, provide notice of material changes.
